Cold intro email to an investor

When you have no warm path. Keep it under 120 words.

Subject: [Company] — [one-line traction proof], raising [round size]

Hi [First name],

I saw [specific reason: their investment in X / post about Y], which is why I am writing to you rather than a list.

[Company] helps [customer] [do outcome] without [pain]. Since [month], we have [traction: e.g. grown to €XXk MRR, +XX% MoM, with N paying customers].

We are raising [round size] to [the one milestone the money buys]. [Notable investor/angel] has committed [amount], if true.

Would a 20-minute call in the next two weeks make sense? A short deck is attached.

Best,

Warm intro request (double opt-in)

Ask a mutual contact to check with the investor first. Make it forwardable.

Subject: Intro to [Investor name] at [Fund]?

Hi [Contact first name],

Would you be comfortable asking [Investor name] whether they would like an introduction to me? Only if they say yes — no pressure either way.

Below is a short blurb you can forward as is:

---
[Company] ([website]) helps [customer] [do outcome]. [Traction in one line]. The team: [one line on why you]. They are raising [round size] for [milestone], and [Investor name] came up because [fit: stage, sector, portfolio company].
---

Thank you — happy to return the favour any time.

Follow-up after no reply

Send 5–7 working days after the first email, once. Add something new.

Subject: Re: [original subject]

Hi [First name],

A quick update since my last note: [new proof point — new customer, metric, hire, partnership].

If [Company] is not a fit for [Fund] right now, a one-word reply is completely fine and helps me plan. If it is, I would value 20 minutes.

Best,
[Your name]

Thank-you after receiving a term sheet

Acknowledge fast, commit to a timeline, do not accept on the spot.

Subject: Thank you — [Fund] term sheet for [Company]

Hi [First name],

Thank you for the term sheet and for the time your team has spent with us. We are genuinely excited about working together.

We are reviewing it with our lawyer [and existing investors] and will come back with any questions by [date]. Our aim is to sign by [date].

Could you share who on your side will handle legal and due diligence, so we can prepare the data room?

Best regards,
[Your name]

Responding to an investor’s “no”

Keep the door open and learn something — many “no”s become “yes” in the next round.

Subject: Re: [Company]

Hi [First name],

Thank you for the clear answer and for the time — I appreciate it.

If you are open to it, what would you need to see for [Company] to become interesting for you? Even a single sentence helps us.

With your permission I will add you to our quarterly update, so you can follow our progress.

All the best,
[Your name]

How it works

Each template is written for European early-stage fundraising. Replace every [placeholder], cut anything that is not true for you, and keep emails short.

Frequently asked questions

What is a double opt-in introduction?

You ask your contact to check with the investor first; only if the investor agrees does the introduction happen. Investors value it because it respects their time.

How often should I send investor updates?

Monthly, from the moment you start talking to investors — not only after they invest. Consistent updates are one of the best ways to build trust before a round.

Can I use these templates commercially?

Yes, use them freely in your own fundraising.
